Description

This is a repost with additional features and a project that MUST be completed and launched no later than January 4th, 2010. If bidding, keep this in mind. This should allow for a few days of testing and modifications. The server setup is a Unix server running CentOS5

This is an online database with the purpose of sharing documents between a multi-office business as well as sharing information securely with clients. Database flexibility is key. Multiple levels of security will be required with the following levels: HQ Master (full rights), HQ Admin, Office Owner/Manager, Office Admin, Agent and Prospect. Access rights will be determined by a process of elimination after first test run of site is complete. With the multiple level access rights, we will need to assign users in groups as well. Example would be all CIA and MROS forms would be emailed to the Office Owner/Manager for the associates listed under that particular manager.
Section Description

- Charlie: Charlie is a name for the Business Listings. Business listings are divided by office > Name of the business. Within the Name of Business folder will consist of a collection of PDF files which are related to the business itself. In addition, within the Business folder, there will be a folder called “Do Not Send”. Anything within this folder cannot be shared outside of the company. More on this in a later topic.


Entering a business would include HQ Master or HQ Admin to fill out a form, which will have searchable fields in a database format, and then attaching the proper business files to the business listing itself. Examples of information included in the form fillout are financial numbers, location and types of business. We must have the ability to add locations and types of businesses. All company personnel will have access to Charlie (Business Listings) and search by the fields (by range). Associates can select certain business packets and share them with prospects. However to make this process work properly, there will need to be an indicator that a confidentiality agreement has been completed first. Preferences would be either a form sent to the prospect to fill out, or the associate can upload the completed form to continue the process of sending information. Once the agent selects all of the businesses to send information on then another form (MROS) would be automatically created and sent to the associates manager to show what information has been sent out. When this step is completed, an email will be sent to the desired buyer with a link to log into the database, with a temporary username and password which will expire (ex-7, 10, 14 days) soon after and the only thing the buyer will see are the businesses approved by the associate sending the message, minus the info in the “Do Not Send” folder All information sent, CIA returns and MROS will be kept in the database for tracking purposes. One CIA will work for one prospect looking at multiple businesses. One MROS will work for one prospect looking at multiple businesses, but the MROS must indicate all businesses viewed. We will need to allow agents to view information without an approval process, because of research means as well
- Ellis: (Business Listings Uploader): Ellis is a section that everyone but Agents and Prospects can access. This is where offices can upload new and updated information for a business. Simple process. A list of offices > create new directory > upload new files. HQ Master and HQ Admin have the rights to remove this information, give it proper naming and then move it into Charlie (Business Listings)
- Ads: Ads are readable by Office Managers/Owners, Office Admin and Agents. Only HQ Master and HQ Admin will have rights to upload new ads into this section. Simple process again. A list of offices > create new directory for year > create new directory for ad type > move ad into this folder from the uploads in Ellis


- Forms: Readable by Office Managers/Owners, Office Admin and Agents. Cannot be changed by these groups. They can be opened and downloaded. Mostly in .doc or .xls. HQ Master and HQ Admin cannot upload new versions

All in all, this is a file sharing program with customizations to fit our needs and it allows us to build outward. Other file sharing programs do not fit our needs because they come cluttered with unwanted items and makes it difficult to use. Launch date cannot be after January 3rd, 2010, so we would need a beta version to test beforehand.


This is version 1.0. We most definitely will be expanding the system to meet more of our needs but we need this first version to be completed first. Hopefully we can enter into a long term relationship with the winning bidder
