Description

This project is for a recommendation + upto two hours of your time to discuss your recommendation if it is accepted, so please keep your bids very low!
Attention:

Please bid only if:

* You have a great deal of experience with Mail Servers (the project involves interacting with someone who has 23 years experience with mail systems)
* You are interested in bidding on the 'implementation phase' in a few months


Winning Bid:

The winning bid will be the recommendation we decide to go with, but do not dismay if you don't get selected as I will keep in mind anyone who writes a good recommendation for future projects (I work for a lot of different companies who have various mail needs)

If I don't find a solution that suits, I will award the project to the person who put the most effort into their recommendation (I think this would be the most fair outcome)


Project Reasoning:
I do not have the time to research current 'mail solutions' including Virus / Spam Filtering options.


Project Brief:
We are considering expanding our mail services to an estimated 3000 users, could grow from there.

We have not determined if it should be on a Windows 2003 or Debian Server.

We have a preference toward a Windows server, but currently run Debian. At the time of the installation of the original server, there was NOT a low cost windows 'mail server' solution. This may still be the case.


Factors are:
* Cost (our current Debian solution is built on free open source software)
* Ongoing Administration.

note:
I am a Win32 programmer and run Windows 2003 webservers, I am extremely competent at all things Windows, but my Linux admin skills are very very average. With a linux solution I would need to outsource the Server setup and the Admin.


Mailserver to be configured for:
* Grey listing
* DBL lists
* Virus checking. (We have a great setup at the moment, with a good record on spam detection.)
* Mail Limits
* Multiple Domains


Critical:
Webmail Interface (must be user friendly and very very visually appealing. It MUST have an option to add a 'footer' to every email sent for our advertising.)


User Accounts:
Can be added from a webpage or from our console software (currently my Windows App SSH's into the debian server to add accounts, we can create scripts for this in-house)

I recommend that you tweak your existing Debian based mail solution so that it can be scalable and to have a better looking web mail system. Switching from Linux to windows is bad choice is a lot of ways. Reliable mail solutions on Windows is not cheap or easy to maintain. Debian servers are known to be rock solid (I use them for all my server purposes) and recommend you keep it. Since you say you use shell scripts to add uses, I assume you're creating unix accounts on the server for mail users or using a text file to store the virtual mail user base ? You can modify this to use a SQL database that you can manage with a web front end to manage the user base. My recommendation for the mail server is to use Debian Linux with Postfix for SMTP, Dovecot for POP3 and IMAP and MySQL database for the userbase. ( In Postfix speak this is called a virtual domain and user base). Virtual domains and users makes it easy to host multiple domains and using a MySQL Database makes storing and management easy. For spam and Virus scanning suggest Amavisd-new with Spamassassin and Clamav. Postfix-Policyd for greylisting and mail quotas (limits). For webmail, I suggest Roundcube webmail (uses Ajax and the interface works a bit like Gmail) or Illoha Web mail. All of these software (except for Roundcube) is available for Debian so installation is quite easy and Roundcube is php based so thats easy to setup as well. I can do all this quite easily as I use then on servers that I manage.
