Description:	Project Goal: Develop a Service Order entry and tracking system for osCommerce. This project is nearly identical to project number 22202 (posted 07/20/05 st Get A Freelancer.com). We have a fairly standard osCommerce setup which has been minimally modified. It is a new store and is not actively used at this time. This prospectus is a detailed description of how we would like the system to work. We are open to suggestions for improvement. We are not suggesting how to implement the system. We would like to have a dual store single admin system: one store for repair orders and tracking, and one store for our accessory shop. The accessory shop store will be a standard OSC store. Both stores must be in sub domain as main domain is for our main website. 1. All customer data and communications must be secured with SSL and Visual Verification Code (VVC) to protect customer data and eliminate SPAM. 3. Service Orders can be printed at any status for admin, service order printed by customer only upon approval of estimate. 4. Remove country selection (all activity is based in the USA). 5. Setup shopping cart so that Pennsylvania orders are charged 6% tax for the purchase price and shipping. 6. Setup Admin area so that ALL customer data is visible for editing, including user name and password. 7. Add in-Store Pick Up as a shipping option. 8. Add Check/Money Order and Cash (in-store Only) as payment option. 9. Add U.S. Postal Service delivery confirmation package tracking (Package Tracking with Email Mods v1.5) 10. Install on our system. The Service Order work flow: a) Customer submits Service Estimate Request via information form (SSL & VVC). Information gathered at this stage will be : first name, last name, email address, state, brand, model, serial number, & description of problem (State & brand as drop down menu, others as text box). Status as “Estimate Request.” (Side Note: I’m torn on whether we should require everyone to create an account in order to submit an estimate request. Initially, I would be hesitant to require an account for prospective customers because it’s another step- 50% of initial contacts are never acted upon, and I want to make it fast and easy to submit a request.) b) Admin reviews Service request and responds with email through control panel. I want to be able to generate an email with the customer’s first name pre populated (Hi Bob-), a text area where I can enter a short response, a number field where I enter the repair price, a secure link back to our web site where the customer can either log in or create account to approve (or decline) the repair, and a repair details text area that can be populated with pre-filled information, selected from a drop-down menu. Status as "Estimated." (Side Note: Estimated records not acted upon should be automatically deleted after 6 months.) c) Customer approves or declines Service estimate by logging in to or creating customer account where they will provide complete account information (Name, Telephone 1, Telephone 2, Address 1, Address 2, Address 3, City & Zip). Once the customer is logged in, they can view past and current service estimates. If they select an estimate and approve it, the repair is added to the shopping cart where the customer will be prompted to check out, where they will enter payment information (customer will not be charged until repair is complete). At this stage, the repair should be assigned a number (the order number, I suppose) and the customer should print an RMA form to be sent with the camera. Status as “Approved- Not Received” d) Service order received at repair facility (status code "In Repair"). An email should be generated and sent for mail-order customers upon change of status. Admin should have access to additional data fields such as "Description of Work completed," "Technicians Notes," and will have full access to edit and change any data in a service order. Admin should be able to easily create account and create service item for over-the-counter customers. e) Additional Order Status Codes: "Re-Estimate Repair" -generate re-estimate email for customer. "Re-Estimate Approved" -generate re-estimate approved email. “Waiting Parts” –no email. f) When repair is complete admin has option to generate and send “repair complete” notice. g) Final status codes: “Repair Paid” – admin has shopping cart payment options such as “check,” “cash,” or “on account.” “Repair Delivered” –record date of delivery and method (OTC over-the-counter, USPS Priority, UPS, FedEx, etc...)
